Some groups are only needed for a season. A group set up for a Christmas carol service, a six week course or a one-off event has a natural end date, and once that date has passed the group usually just sits there. Over time those leftover groups build up and make your Groups list harder to read.
Setting an expiry date sorts this out in advance. You choose the date the group is no longer needed and it expires on its own, so nobody has to remember to come back and tidy up.
This is for anyone who manages groups in the Jovo admin site.
You can do this when you first create a group or at any point afterwards, so an existing group that has quietly run its course can still be given an end date.
Pick the first day the group is genuinely no longer needed, rather than the day of the event itself. People often carry on chatting right up to and just after something happens, so give the conversation room to finish.
A carol service group, for example, works well expiring on Boxing Day. The choir has done its final run through, the service has happened, everyone has said thank you and the group can close.
If plans change, open the group again before the date arrives and update it.
On the expiry date the group closes itself. There is nothing for you to action and nobody needs to chase it. Your Groups list stays focused on the groups that are actually in use, which makes it easier for your team to find the right one and easier for you to see what is going on across the account.
You can now set any group to expire on a date that suits it, run seasonal and short-term groups with confidence and keep your account free of ghost groups.
